Position: President

Area of Responsibility:

  1. To oversee the management of all Club activities
  2. Establish an effective Business plan by delegating out roles with full time job descriptions to committee members and Team Leaders
  3. Preside over monthly meetings
  4. Support and help all co-ordinators
  5. Be Innovative in re-energizing the Club
  6. Work with sponsors corporations that support your club
  7. Promote the many advantages of the club

Requirements:

  1. A supportive and responsive Club Committee who have taken on responsibility for Club function

Goals 2000 examples:

  1. Establish a business plan
  2. Establish working roles for committee
  3. Ensure club members feel part of the process
  4. Be the Business face of the club
  5. Establish a development plan for club facilities


Position: Secretary

Areas of Responsibility:

  1. Take minutes of all meetings
  2. Keep register of all players
  3. Send out subs
  4. Collect subscriptions
  5. Club room hire
  6. Diary for programme throughout the year
  7. Keep bookings up to date
  8. Send out club correspondence
  9. Receive all inward mail for the club

Requirements:

  1. Committee members to keep the secretary informed of newsletter items plus developments in their areas of responsibility

Goals:

  1. Keep the newsletter interesting
  2. Divide the club members into groups for each committee member so that members can be contacted quickly about any activities. Verbal communication very effective
  3. Support the President, and Treasurer and all Committee members


Position: Treasurer

Areas of Responsibility:

  1. Receiver and Pay all accounts
  2. Invoice debtors
  3. Banking
  4. GST returns
  5. Bank reconciliation’s
  6. Monthly reports required – cash movement for month and debtors outstanding
  7. Prepare year end accounts
  8. Arrange audits
  9. Maximise interest received on surplus funds
  10. Prepare annual budget to present at AGM
  11. Reports as required e.g. fund-raising/tournaments

Requirements:

  1. Team Leader to approve all expenditure in their areas.
  2. The Club to work within its budget.
  3. To ensure that the relevant financial support is available whenever required

Goals:

  1. Keep the club accounts in a positive position by good financial advice to the committee


Position: Publicity

Area of Responsibility:

  1. Promote the club as the best in the region

Requirements:

  1. News letter reports- frequently
  2. Photos - every opportunity i.e. any tournaments, special events, social days etc
  3. Photos/newspaper clipping, to be kept
  4. Posters on community notice boards
  5. Photo album to be established
  6. Radio exposure and newspaper coverage
  7. Information from members to be given to Secretary
  8. Ensure deadlines are met

Goals:

  1. Raise awareness of the Club
  2. Promote new players and special events
  3. Permanent display board of club photos


Position: Collegiate and Junior convenor

Area of responsibility:

  1. Promote collegiate sport within the club
  2. Work closely with committee to establish a junior programme
  3. Establish a coaching programme for the collegiate
  4. Develop collegiate tournaments
  5. Establish links with local schools
  6. Working committee of volunteers to assist with coaching
  7. Ensure that junior development is progressive and caters for all junior abilities
  8. Ensure that elite juniors are given the chance to progress

Requirements:

  1. Junior sponsorship
  2. Support from other club members

Goals:

  1. Improve junior bowls
  2. Foster a strong junior/collegiate development programme


Position: Coaching/Umpiring

Area of Responsibility:

  1. Train and appoint a club umpire and club coach
  2. Encourage coaches and umpires to progress
  3. Establish a coach and umpire register
  4. Recruit help from 4-5 club members to help
  5. Nominate best volunteer coaches for rewards
  6. Ensure that all players have access to coaching
  7. Work with Collegiate Convenor to ensure that collegiate bowls has the relevant support

Requirements:

  1. Support from club members
  2. Access to relevant Coaching and Umpiring courses
  3. Support from coaching Team to ensure that coaching is progressive and uniform

Goals:

  1. To produce outstanding coaches and umpires that will facilitate the growth of elite club players


Position: Property and Buildings

Area of Responsibility:

  1. Maintain club premises
  2. Establish a maintenance diary
  3. Organise working B’s
  4. Security and member awareness
  5. Contract work on club facilities
  6. Be aware of Clubs plan for facility development
  7. Innovative ideas for brightening and making the club more attractive

Requirements:

  1. Support of club and committee members
  2. To be made aware of future development plans
  3. To be aware of special occasions and events

Goals:

  1. To minimise maintenance costs and keep the facilities in good working order
  2. To develop and upgrade the club facilities


Position: Sponsorship

Area of Responsibility:

  1. Organise funding and obtain sponsorship for club
  2. Ensure grant applications are correctly formulated and in before time

Requirements:

  1. Advertising on all greens
  2. Sole sponsors to be developed
  3. Keep a register of all past and present sponsors
  4. Maintain communication with sponsors
  5. Newsletters
  6. Maintain tournament sponsors
  7. Contact corporations for sponsorship
  8. Support from club members and community
  9. Help from Sponsorship Team

Goals:

  1. Raise the required amount each year to meet the clubs targets
  2. Work closely with Treasurer to establish priority areas

STRUCTURING YOUR COMMITTEE

There are several options available in the formation of the committee.

In this example one "team leader" from each sub committee shown above sits on the management committee. The idea being is to have a sub committee of people who are keen to help out in certain areas of the club administration but don't want to do so all the time and don't want to sit on the Executive. More hands means less work.

  1. Sub committees sit under the club executive committee and can be designed to meet the specific requirement of the each club.
  2. Where there is a men’s and women’s club there are two options:
    • no sport specific committee, individuals from both sports sit on the club committee holding one of the positions e.g. accounts and any sport specific issues such as interclub and subscriptions are dealt with by certain individuals within that sport who may or may not sit on the club committee.
    • There are two separate men and ladies committees that sit below the club committee that deal with each required area within their own committee. To do this successfully a strong club committee is required to ensure there is no conflict.

IMPORTANT
However it is decided to structure the committee it is important to remember that committee members are volunteers and it is important to break down the workload by delegating more people to do smaller tasks.

It is also very important to recognise their efforts and reward them.
